Summary:

The Junior High School Attendance Secretary provides comprehensive office and clerical support to the Junior High School and assists with the efficient operation of the school’s attendance and student support functions. This position requires strong organizational skills, attention to detail, confidentiality, and the ability to manage multiple tasks while maintaining accurate attendance and student records.

 

175 Day Contract (8 days before school start, 4 days after)

 

Qualifications:

  1.  High School Diploma/GED
  2. Experience as a secretary.
  3. Demonstrated typing and filing skills.
  4. Experience in using various computers and computer programs

The position is open until filled.

 

Essential Duties/Responsibilities:

  9. Coordinate and provide office and clerical support to assist with the efficient operation of the Junior High School.
  10. Screen visitors and telephone calls, directing them to the appropriate person or department.
  11. Compose, type, and copy correspondence, reports, records, and other materials.
  12. Maintain an orderly filing system.
  13. Schedule appointments and assemble materials for meetings.
  14. Assist in preparing reports.
  15. Maintain accurate and up-to-date student attendance records.
  16. Enter period attendance into the computer.
  17. Enter student tardies into the computer.
  18. Document excused calls and communications from parents/guardians.
  19. Enter school activity absences into the computer and maintain accurate records of students absent for school activities.
  20. Report attendance concerns and problems to the Assistant Principal/Principal.
  21. Prepare and distribute unexcused absence lists to teacher boxes as directed.
  22. Prepare and send attendance letters to parents/guardians.
  23. Distribute office passes and notes as directed.
  24. Provide assignments and coordinate materials for students assigned to In-School Suspension (ISS).
  25. Record discipline reports and distribute copies to parents/guardians and appropriate staff.
  26. Provide copies of discipline reports to teacher boxes as directed.
  27. Coordinate assignments for students who are absent due to illness or other approved reasons.
  28. Order, receive, and distribute office and school supplies.
  29. Keep abreast of new information, innovative ideas, and techniques related to school attendance and office operations.

Additional Duties and Responsibilities:

  2. Ensure that all activities conform to district guidelines.
  3. Maintain accurate and organized attendance, student, and office records.
  4. Communicate professionally and effectively with students, parents/guardians, staff, administrators, and community members.
  5. Support the value of education.
  6. Support the philosophy and mission of Portales Municipal Schools.

Physical Requirements:

  • Medium: Lift up to 50 lbs occasionally & up to 25 lbs frequently
  • May involve sitting, standing, lifting, carrying, reaching, squatting, kneeling, and moving light furniture

Safety/Health and Other Requirements:

  1. Knowledgeable of universal hygiene precautions.
  2. An FBI fingerprint background check will be conducted on all new hires of Portales Municipal Schools at the employee’s cost. Continued employment is contingent upon background check results.
  3. Must work in noisy and crowded environments.
  4. May require some time outside.
  5. May require after-hours work.

Work Environment:

Must be able to work in environments with various levels of noise, temperature, and air quality. Regular interruptions, flexibility, and patience are expected. Must be self-motivated and capable of completing assignments independently. After-hours work may be required.

 

 

Portales Municipal Schools are located in the City of Portales, which has a population of about 15,000. The area's economy is based primarily on agriculture. Portales is the home of Eastern New Mexico University and is less than 20 miles from Cannon Air Force Base near Clovis, NM.

 

The Portales Municipal School District consists of six grade-level schools. This means that each school, except the high school, consists of two grade levels and is not community-based. Portales High School houses grades 9-12, while Brown Early Childhood Center is grades PK-K; James Elementary is 1st and 2nd grade; Valencia Elementary consists of grades 3rd and 4th; Lindsey/Steiner Elementary is grades 5th and 6th; and Portales Junior High is the home of 7th and 8th grade.
